NextsAI Privacy Policy

Overview

NextsAI provides account, subscription, entitlement, device binding, desktop application, and offline licensing services. This Privacy Policy explains what information we collect, how we use it, and the choices available to users.

NextsAI is designed with a local-first boundary. Private desktop content, including local files, email bodies, meeting audio, transcripts, summaries, chat messages, and user prompts, is not stored by the NextsAI account service unless a user explicitly submits information to us for support or another requested service.

Information We Collect

We may collect the following categories of information when you use NextsAI:

• Account information, such as name, email address, login credentials, role, and account status.
• Subscription and billing metadata, such as plan, entitlement, payment status, renewal status, and invoices.

• Support information that you choose to send to us, such as messages, screenshots, or diagnostic details.

Cookies and Usage Data

NextsAI websites and account services may use essential cookies or similar technologies to keep users signed in, protect sessions, remember preferences, measure reliability, and prevent abuse. Some usage data, such as browser type, device type, IP address, pages visited, timestamps, and diagnostic events, may be collected automatically when you use our website or cloud services.

Google API and Gmail Data

If you connect a Google account or authorize Gmail-related access, NextsAI only requests the permissions needed to provide the user-facing features you choose to enable. Depending on the feature, this may include reading mailbox metadata, message content, labels, attachments, or sending user-directed messages.

We use Google user data only to provide and improve the specific NextsAI features that you request, such as inbox search, message summarization, task extraction, drafting replies, or sending messages on your behalf after your action or confirmation.

NextsAI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We request only the Google permissions needed for the features shown in the product. If we materially change how Google user data is accessed, used, stored, shared, or deleted, we will update this Privacy Policy and ask users to consent before using Google user data in a new way.

• We do not sell Google user data.
• We do not use Google user data for advertising.
• We do not use Google user data to train generalized artificial intelligence or machine learning models.
• We do not allow humans to read Google user data unless you give explicit permission, it is necessary for security or abuse investigation, it is required by law, or the data has been aggregated and anonymized.
• We do not transfer Google user data except as necessary to provide the requested feature, comply with law, or protect users and the service.

How We Use Information

We use information to:

• Provide, operate, authenticate, and secure NextsAI accounts and desktop services.
• Manage subscriptions, entitlements, usage limits, device binding, and offline licenses.
• Provide user-requested integrations and actions, including Google or Gmail features when authorized.
• Detect, prevent, and respond to fraud, abuse, security incidents, and service reliability issues.
• Provide customer support and communicate about service, policy, or product updates.

Sharing and Disclosure

We may share information with service providers that help us operate NextsAI, such as hosting, storage, payment processing, analytics, security, and customer support providers. These providers may only process information for our instructed business purposes.

We may disclose information if required by law, to protect rights and safety, to investigate abuse, or as part of a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality and user protection measures.

AI Service Transparency

When you choose features that use AI model providers or other third-party processors, the content needed to complete your requested action may be sent to the provider selected or configured for that feature. Google user data is not used by NextsAI to train generalized AI or machine learning models.

International Processing

Information may be processed in the countries where NextsAI, its service providers, or infrastructure providers operate. We take reasonable steps designed to protect information according to this Privacy Policy when it is processed outside your region.

Data Retention and Deletion

We retain account, subscription, security, and audit information for as long as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account or connected integration data by contacting us.

If you revoke Google access, NextsAI will stop using the revoked authorization. You may also delete NextsAI's Google access from your Google Account security settings.

Security

We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, and loss. No method of transmission or storage is completely secure, but we work to keep protections appropriate for the sensitivity of the data we process.

Your Choices

You may access, update, export, or delete certain account information through the product or by contacting us. You may revoke third-party account access, including Google access, at any time from the relevant third-party account settings.

Children's Privacy

NextsAI is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us and we will take appropriate steps to delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and provide notice when appropriate. Your continued use of NextsAI after an updated policy becomes effective means you accept the updated policy.
